AI Transparency, Notice, & Explanations Policy
1. Introduction
This policy outlines the principles and practices for Artificial Intelligence (AI) transparency, notice, and explanations within Intuition (“the Organization”). It is designed to ensure that all AI systems developed, deployed, or utilized by the Organization comply with United States law and embody the highest standards of accountability and ethical responsibility. This policy is informed by critical legal compliance factors, emphasizing the importance of transparency and explainability in AI operations.
2. Policy Scope
This policy applies to all employees, contractors, and third-party vendors of the Organization involved in the design, development, deployment, and operational oversight of AI technologies. It encompasses all AI systems and applications, regardless of their purpose, complexity, or operational domain.
3. Definitions
- Artificial Intelligence (AI): Technologies that simulate human intelligence, including machine learning, natural language processing, and robotics.
- Transparency: The practice of making the operations and decision-making processes of AI systems clear and understandable to relevant stakeholders.
- Explainability: The ability of AI systems to provide understandable and interpretable explanations regarding their algorithms, data usage, and decisions.
- Notice: Informing users and stakeholders about the deployment of AI systems, their purposes, and potential impacts.
4. Principles
4.1 Transparency
- 4.1.1 The Organization commits to ensuring that the workings of its AI systems are accessible and comprehensible to authorized personnel, regulatory bodies, and, where applicable, the public.
- 4.1.2 Documentation detailing the design, data inputs, algorithms, and operational parameters of AI systems shall be maintained and made available for review as required by law or organizational policy.
4.2 Explainability
- 4.2.1 AI systems deployed by the Organization shall be capable of providing explanations for their decisions in a manner that is understandable to non-expert stakeholders.
- 4.2.2 Efforts shall be made to ensure that explanations cover the rationale behind decisions, the data used, and the significance of different data inputs in the decision-making process.
4.3 Notice
- 4.3.1 Stakeholders, including users, employees, and affected parties, shall be provided with clear and timely notice about the deployment of AI systems, their purposes, and how they might impact individuals or operations.
- 4.3.2 Notices shall include information on whom to contact for more detailed inquiries or concerns about AI systems.
4.4 Fairness and Algorithmic Discrimination
- 4.4.1 Intuition’s use of AI in TeamBuilder is limited to the summarization and categorization of user input. The AI usage in TeamBuilder does not involve any decision-making or selection processes.
4.5 Human Alternatives, Consideration and Fallback
- 4.5.1 Intuition TeamBuilder allows HR managers the option to opt-out of AI-based features.
5. Implementation
- 5.1 A dedicated AI Governance Committee shall be established to oversee the implementation of this policy, ensuring AI systems’ compliance with legal and ethical standards.
- 5.2 Training programs shall be developed and provided to relevant personnel to foster a deep understanding of AI transparency, explainability, and notice requirements.
- 5.3 Regular audits and assessments shall be conducted to verify compliance with this policy and to identify areas for improvement in AI systems’ transparency and explainability.
6. Compliance and Enforcement
- 6.1 Any deviations from this policy must be approved in writing by the AI Governance Committee.
7. Review and Updates
This policy shall be reviewed annually or more frequently as needed to reflect changes in legal requirements, technological advancements, or organizational priorities. Amendments to this policy shall be made in accordance with the governance procedures of the Organization.
